What personal data we collect and why we collect it

eNewsletter Subscribers

We use Mailchimp to manage our subscriber mailing list and send our email campaigns.  We collect your name and email address when you opt-in to receive our eNewsletters.  You can unsubscribe yourself at any time, from the link in the footer of all emails.  You can also update your preferences and personal details from a link in the footer of all emails.  Mailchimp also provides real-time data analytics, which you can review in their Privacy Policy.

Cairns Family History Members

We use the MemberPress plugin in WordPress to manage our membership (see their Privacy Policy).

We collect information about you during the signup process as well as some basic activities such as the dates you make purchases, login to the site, or cancel/pause/resume your subscriptions with us.

When you subscribe with us, we’ll ask you to provide your name and an email address. We’ll use this information for purposes, such as, to:

  • Send you information about your account and subscriptions. This may include payment receipts, password reset emails, and payment reminders.
  • Create your membership account.

We store information about you for as long as your account exists.  Members of our team have access to the information you provide us. For example, site Administrators can access:

  • Order information such as your membership subscriptions, payment dates and amounts, and username / email address.

Any additional information added in your Member Profile can also be visible to the Administrators.  All members can see, edit, or delete their personal information at any time (except they cannot change their username).  Website administrators can also see and edit that information.

When new members subscribe, their email address is shared with Mailchimp to enable Cairns Family History member news and event notifications to be sent to the member.  The member can unsubscribe from Mailchimp at any time using the link in the footer of the emails, but they will no longer receive any communications from Cairns Family History.

We accept payments through PayPal.  When processing payments, some of your data will be passed to PayPal, including information required to process or support the payment, such as the purchase total and billing information.  Please see the PayPal Privacy Policy for more details.

Blog Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

Media

If you upload images to the website (for example, in blog posts or comments), you should avoid uploading images with embedded location data (EXIF GPS) included.  Visitors to the website can download and extract any location data from images on the website.

Contact forms

If you fill in and send a message to us via the contact form on our Contact Us page, any information you enter will be stored temporarily to enable us to receive and action the message.  By using the contact form, you are consenting to share the information you send to us.  We keep contact form submissions for customer service purposes, but do not use the information submitted for marketing purposes.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have a MemberPress or WordPress account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.).  Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website.

Analytics

We use Google Analytics and WordPress plugin Count Per Day statistics to track how visitors interact with our website, analyse where traffic is generated from and collect information related to general site engagement.  Our web host, GoDaddy, may also collect some anonymous analytics data.

What rights you have over your data

If you have a member account on this site, or have left blog comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Visitor comments may be checked through an automated spam detection service.
